The unsystematic and manual procedure of schools during enrollment leads to forecasted issues such as loss of information considering paper is an incredibly vulnerable substance. Students accompanied by their parents encounter various dilemmas such as course requires special permission, requested course is full, exceeds maximum credits allowed for one term, time conflict, queuing for long hours to pay and get enrolled, registration on hold, sometimes requested to come back the next day, or even after a week due to lost files. This serves to show sluggish process and confusion within the institution. As the enrollees proliferate every year, the enrollment procedures become more exhausting to deal with, as a result amount of information that needs to be transcribed also increases. This impediment will be eliminated if we address the gap that exists and emerge with a proposal that will probably unravel the burden that we experience.
During 1970’s, up to now, most colleges have developed two basic market-oriented approaches: Institutions want to forecast and be able to plan for their enrollment more effectively and they want to influence the decision-making process of prospective students who are desired by the institution (Black, 2004).
Demographics of students, academic preparedness of students, and how students communicate have presented new challenges for institutions seeking to recruit and enroll students. Consequently, a model is introduced and explained in this study to examine the satisfaction of students as customers in their respective institutions.
Online Enrollment System by far is the best solution for the breakthrough of the current manual enrollment system. It is the most evident, accurate and efficient approach to ensure a good impression to students encouraging them to matriculate in the institution. Hence, the use of technology has been an effective contrivance on improving our daily lives. This proposal tells us how automation and computer software significantly escalate human technological processes and advancement.
The objective and purpose of this online enrollment system is to provide real-time registration that aims to solve the school’s lack of flexibility, manpower and time consuming system. Enrollment system is a software that is accessed through the internet that will provide the needs in caching information easily and suitable for everyone in the institution. The researchers provide a website for the University where incoming students who’ve passed the entrance examination and current students of the said University, can check if they already are registered or validated by logging in into their personal account via University web. From there, they will fill-up the corresponding requirements, it includes the list of courses offered for the whole year and the blocked section list. It provides guidance to students in deciding which subjects they would like to take and any laboratory / tutorial classes to choose from. It caches information such as class schedules, pre-requisites, subject descriptions and other data in the system.
It is a complicated workflow that is based on strict university enrollment rules. These enrollment rules are subset of the university’s business rules. A strong business rules compliant and user-friendly interface system is necessary for high service-oriented satisfaction among students. Besides business rules, the system also incorporates various notification mechanisms like Short Messaging Service (SMS) and Email. XML is used to cache the business rules and thus allow the portability of the system interface to widen the range of devices not only supports PC / laptop based display but also devices with much smaller screens such as mobile phones and PDA. These diverse interfaces provide portable access for overseas and local students regardless where they are and what device they are using. It comes handy for the freshmen, transferees, old students, shiftees and teacher to be able to manipulate the following services: Students Information System, Enrollment System, and Grading System. To such extent not only allows international students to enroll through internet without traveling to the campus, it also enable students to enroll their subjects’ prior commencing the semester.
(Internet Enriquez, 2013) states that in these days, time, effort and money are such vital things that have to be used very efficiently to have a satisfactory outcome whatever work is to be done. Modern day technology makes life simple and easy in many ways.
A software development and IT service firm implemented its catalyst in Governor Andres Pascual College was integrated web platform to provide content management, transaction processing, marketing and interactive community functions, their online system of enrollment including their inventory to lessen hassle of student filling out different forms and identification to verify their enrollment slot and inventory from which they can see their current balance for the past semester. While at Cavite State University – Main Campus the present study focuses on using the internet environment to suffice the needs of students who are far from the vicinity of the University to lessen their burden. The content management tools of the Jones School staff edits, update or add to the volume of curriculum and event information without calling for technical assistance.
In short, the enrollment system backend engine runs based on the business rules and front-end engine runs to provide high satisfaction user experience. With the business and user interface, the system is able to run the workflow of student enrollment from the online enrollment form to approval workflow cycle running parallel with the notification capability. Institutions are traditionally focused on student satisfaction, retention, and graduation rates as the main cohorts in self-studies (Noel Levitz, 2010).
As noted by (Black, 2009), institutions that utilize tactical enrollment planning models tend to focus inwardly. These models often use historical data and anecdotal experiences to guide the strategy development.
These are important to understand, although in order to maximize strategic efforts, enrollment managers also must anticipate environmental shifts and assess the impact of these changes on enrollment objectives at their respective institutions (Cope, 1981).
At present, there is minimal or absence of literature on the perception of students about online enrollment in Holy Cross of Davao College. Hence, this study is being conducted to fill that gap in literature.
